Candidate Consent Document

This document covers the protection of a candidate's rights under the UK Data Protection Act 1988 ("The Act") and under the Conduct of Employment Agencies & Employment Businesses Regulations 2003 ("The Regulations"). Warren Partners is an executive search company acting as an agency (under the terms of the Conduct of Employment Agencies & Employment Businesses Regulations).

Data Protection

Warren Partners is committed to protecting the privacy of your personal data and will comply with applicable data protection laws. We feel it is important to outline clearly what information we collect, why we collect it and what we do with it. The Act sets out the principles that should be followed when processing personal data of any kind and one way Warren Partners can take steps to comply with some of these is to gain your consent to processing.

We collect and retain personal data to assess your suitability for any current or future employment opportunities. Data collected is typically information normally included in a CV. It may also include interview notes and comments from other individuals (eg referees) arising from the recruitment process. Details of any background checks may also be held (eg work history, academic qualifications) and data will also be updated with information in the public domain, collected from third parties and from you. You can refuse to provide personal data but this may prevent you being considered as a candidate for opportunities arising through our business. For the assessment process to take place, our Directors, researchers and employees will be given access to your personal data. We will not otherwise disclose any of your personal data to any third party not employed by us without your permission. We may use aggregate data on an anonymous basis to put together statistics. You will not generally be asked to provide sensitive personal data unless legally required for recruitment purposes. Sensitive personal data includes data relating to racial or ethnic origin, political opinions, religious or other beliefs, trade union membership, physical or mental health, sexual life or criminal record. On any occasion where we seek such sensitive data we will make you aware of the purpose to which it is to be put and seek your consent. If you provide us with such data where it is not requested, you consent to our using this data. Most of the personal data collected is held on our database which is maintained solely by our employees for the purposes of executive search and related services. The remainder of the personal data is held on paper files kept in the office.

Conduct of Employment Agencies & Employment Businesses Regulations

Should your application be taken forward after your meeting, before we can pass your details to our client, we have a legal obligation to:

  1. Confirm your identity
  2. Confirm you hold the formal qualifications and/or professional memberships and/or authorisations necessary to undertake the role for which you are being interviewed
  3. Confirm details of your experience

To enable us to meet our obligations, we will need to obtain the following from you before forwarding your details to our client:

  1. Your passport or photo driving licence (or certified copy of either)
  2. A signed copy of this letter authorising Warren Partners Limited to carry out any investigations it deems necessary to confirm details of your qualifications and experience (be assured we will not make contact with your current employer unless we have your permission)

We will retain your details on the Warren Partners database system to enable us to make contact with you about suitable opportunities. If we become aware of such an opportunity, we would always make contact with you before submitting your details to our client. In line with current legislation, we need to make you aware that we are acting as an employment agency as defined in the Conduct of Employment Agencies and Employment Business Regulations 2003. By signing this document you consent to us notifying you of suitable opportunities until such time as you give notice in writing to us to cease doing this.

Candidate Consent

The Candidate hereby:

  1. Authorises Warren Partners to collect, process, use and store in its database or paper files his/her personal data for the purposes described above in strict confidence by all employees within Warren Partners
  2. Agrees that his/her personal data can be accessed, processed and transferred by all Warren Partners employees and that this can be done for an indefinite time unless contrary to legal regulations
  3. Agrees that his/her personal data may be transferred to clients of Warren Partners for assignments on which the client may potentially be interested in the Candidate's professional profile
  4. Agrees that Warren Partners may perform background checks and further verification procedures, including but not limited to employment history, professional memberships, academic status and references. This document serves as explicit authorisation for Warren Partners to verify those qualifications listed on a CV and to contact the particular academic institution where necessary
  5. Acknowledges the right to the erasure, correction, updating or completion of personal data and the right to request no further contact from Warren Partners
